These Terms of Service outline the enrollment requirements, operational policies, and safety standards for Stepping Stones Academy at the Woodlands Inc. By enrolling a child or using our website, you agree to follow the terms below.

1. Enrollment Requirements

Before enrollment is approved, all families must provide:

  • A current well-visit report from the child’s pediatrician
  • Up-to-date immunization records
  • For infants under 12 weeks: a signed statement from the pediatrician confirming the infant is healthy enough to attend

Enrollment is not considered complete until all required documentation is submitted.

2. Tuition and Fees

Stepping Stones Academy charges weekly tuition based on the program enrolled:

  • $200/week – Full-time educational childcare
  • $135/week – Part-time childcare (ages 2+, minimum 3 days/week; not available for infants)
  • $100/week – Before & after school care (snack included)
  • $185/week – Summer & no-school days (school-age children)

Tuition remains unchanged during holiday weeks and must be paid according to the schedule provided at enrollment.

Late Pickup Fees

Pickup must occur by 6:00 PM. The following fees apply:

  • $5.00 fee for any pickup after 6:00 PM
  • An additional $2.00 per minute after 6:05 PM
  • A one-time 5-minute grace period is allowed for the FIRST late pickup

Vacation Days

Full-time children receive 12 vacation days per calendar year. Part-time children receive 6 vacation days per calendar year. Vacation days may be used at the parent’s discretion.

3. Holidays and Closures

Stepping Stones Academy is closed on the following holidays:

  • New Year’s Day
  • Independence Day
  • Thanksgiving Day
  • Day After Thanksgiving
  • Christmas Eve
  • Christmas Day
  • Memorial Day
  • Labor Day

4. Daily Schedules and Lesson Plans

Each classroom follows a daily schedule and age-appropriate lesson plan designed by the classroom teacher. These schedules include structured learning, creative activities, outdoor play, meals, rest time, and developmental experiences. Lesson plans are adjusted as children grow and reach new milestones.

5. Health, Safety, and Medication Policies

For the safety of all children:

  • Only prescription medications may be administered by staff
  • Medication must be in its original container with the child’s full name clearly labeled
  • Parents must complete a medication authorization form
  • Only staff who have completed medication administration training may give medication

6. Staff Qualifications and Training

All staff members:

  • Are trained in CPR and First Aid
  • Complete at least 18 hours of professional training annually
  • Participate in the WV STARS Career Pathway credentialing program
  • Undergo criminal background checks prior to employment

7. Privacy and Confidentiality

All personal and enrollment information is kept secure and confidential. Information is used solely for childcare operations and communication. We do not sell or share personal information except when required by law or state childcare regulations.

8. Website Use

All content on this website, including text, images, and graphics, is the property of Stepping Stones Academy. No materials may be copied, distributed, or reproduced without written permission.

9. Modification of Policies

Stepping Stones Academy reserves the right to update these Terms of Service at any time. Updated versions will be posted on the website. Continued use of our services constitutes acceptance of the revised terms.
